Multi-purpose rooms are available at The Public Library for Union County for meetings and activities of a cultural, educational, and civic nature. The spaces are not available for meetings for religious or commercial purposes nor for individual use that is not of a cultural, educational or civic nature. Library events and activities have priority at all times.
Use of the library’s multi-purpose room(s) in no way constitutes an endorsement by the library of the group or of its activities.
The multi-purpose room(s) may be used only during the library’s normal operating hours, subject to the library’s own schedule of activities. The Public Library for Union County is open Monday, Tuesday, and Thursday from 9:30 a.m. to 8:30 p.m., and Wednesday, Friday and Saturday from 9:30 a.m. to 5 p.m. Use of the room must conclude 15 minutes prior to the library’s closing so that everyone will be out of the library by closing time. An exception may be made for programs directly related to the library. Library staff must be in the building for such exceptions to be made.
The following library spaces are available for use by the public: Multi-purpose Room A&B (room partition is open) 100-person capacity; Multi-Purpose Room A (room partition is closed) 25-person capacity; and Multi-Purpose Room B (room partition is closed) 75-person capacity.
Spaces must be reserved, and reservations are taken on a first-come, first-served basis. Reservations may not be made more than three months in advance. Groups may schedule for a single use or for multiple uses (up to four meetings at a time). A three-month period must elapse prior to rescheduling an event or series of meetings.
All reservations must be made by completing and submitting an application in person at The Public Library for Union County. The application is available at the library or may be downloaded or printed by clicking on the following link: Multi-Purpose Room application for reservation
The library will give at least four weeks notice if a reservation must be cancelled due to a conflict in library activities.
The following equipment is available for use in the multi-purpose room(s): a laptop computer, a ceiling-mounted LCD projector (A&B or B), a DVD player, two cordless microphones (hand-held and lapel), two corded microphones, four wireless ear phones for hearing-impaired, a CD/cassette player, and a lectern.
Groups who use the multi-purpose room(s) are expected to set up before the meeting and clean up the room following the meeting, returning chairs, tables, and equipment to the proper storage areas. Any loss or damage to the room(s) or to the equipment is the responsibility of the individual listed on the reservation application.
No fees may be charged for admittance to meetings or activities held in the multi-purpose room(s). No commercial sales, solicitations, or other money-raising activities may take place at the library. Only the library may sponsor or co-sponsor events that involve a fee, sales, or money-raising activities on the premises.
Any announcement or advertisment by groups who have reserved a multi-purpose room for use must include a disclaimer that The Public Library for Union County does not endorse or assume responsibility for any outside group’s activities or for views expressed during public meetings at the library: “The Public Library for Union County is not sponsoring or endorsing this program or any goods or services offered.”
Any group wishing to show a film or documentary must supply the library with a copy of a certificate that confirms that permission has been granted for public performance in full compliance with the U.S. Copyright Act (Title 17 of the U.S. code).
Multi-purpose rooms must be reserved by an adult. An adult must be present at all times to supervise members of any group who are younger than 17 years of age.
No animals, with the exception of assistance animals, are permitted in the multi-purpose room(s) without the approval of the library director.
No alcohol, tobacco, or drug use is permitted in the library. No open flames of any kind are permitted in the library.
The library’s audio-visual equipment may be used by groups as long as the operator of the equipment has been trained to use it by a library staff member. The responsible party must schedule the training session at least one week in advance of the group’s use of the equipment.
Each multi-purpose room is equipped with a sink and small counter space to prepare simple refreshments. Groups are expected to provide their own food and beverage supplies and to clean up after use.
Groups who are waiting in the library before or after the scheduled meeting are expected to be quiet and to allow others to use the library.
The multi-purpose rooms may not be used in any way that interferes with the orderly operation of the library or poses a threat to the safety of library personnel, property, or customers. Use of the meeting rooms for activities that are inconsistent with the library’s mission may be terminated, and future requests for use may be denied.
The library is not responsible for accidents, injury, loss, or damage to the private property of the individual or organization using the room(s).
Groups using the library’s multi-purpose room(s) are encouraged to consider making a donation to the library to help offset the operating costs for the room(s). The suggested amount per meeting room use is $25. Donations may be made at the time of reservation or at a later date.
